What SpeakMany collects, what it does not, and where everything is processed. Written plainly, because the answer is unusual enough to be worth understanding.
Last updated: 7 September 2026
The short version. Speech is transcribed and translated
on a machine we bring into your venue. Audio is never uploaded, never sent
to a third-party service, and never stored beyond the moment it is
processed. Captions leave the building only when attendees are not on the
venue network, and only as text.
Audio
Audio from your sound desk is processed in memory on our machine, in the
room, and is discarded as it is recognised. It is not written to disk, not
uploaded, and not sent to any cloud service. There is no third party in the
path.
Captions and transcripts
Recognised speech and its translations are written to the machine in the
venue for the duration of the event, so a transcript can be handed to you
afterwards. That machine is ours and stays with us; the transcript is yours
and we give you a copy in every language that ran.
If attendees need to read on phones that are not on the venue network,
caption text is relayed through our server so their browsers
can reach it. This is off by default and switched on per event. Audio is
never relayed under any setting. The relay keeps only the last few lines in
memory so somebody joining late is not staring at a blank screen, and forgets
them when the session ends.
Attendees
An attendee scans a code and opens a web page. There is no account, no
sign-in, and no app.
To count how many people used the service and which languages they chose,
each device stores a random identifier in its own browser. It identifies a
device across one event and nothing else. It is not a cookie, is never joined
to anything, and tells us nothing about who the person is.
Feedback
After a session ends, attendees may leave feedback. A name and contact
details are optional and clearly marked as such. If given, they go to the
event organiser and are used to reply, and nothing else. This is the only
personal data the system holds anywhere. Feedback closes twenty-four hours
after the event.
Enquiries
If you contact us about an event, we keep what you send in order to reply
and to plan the work. We do not add you to a mailing list you did not ask
for, and we do not sell or share it.
What we do not do
- We do not upload your audio, anywhere, ever.
- We do not use your event's speech to train models.
- We do not run analytics or advertising trackers on this website.
- We do not sell, rent or share data with third parties.
Retention and deletion
Transcripts are handed over and then removed from our equipment on
request, and in any case within thirty days of the event. Attendance counts
and feedback are kept so we can give you a report; ask and we will delete
them.
Asking us
To ask what we hold about an event, to get a copy, or to have it deleted,
contact us at speakmany.com/contact. We answer within
one working day.
